• What are your business hours?

We operate within normal weekly business hours from 8:00 am to 8:00 PM -  I am available (though not always working at my desk).  On weekends, we work 10:00 - 6:00, emails are answered and documents are processed and sent but handling of non-time sensitive documents are on a case by case basis.  I have been known to take my laptop to baseball parks and football fields while watching my grandkids play sports.  I will let you know if I can help you right away or if I will need to get back to you.You can easily reach our office via phone, email, and text.

  • Why do I need a transaction coordinator?

We understand the challenging parts of real estate! You didn't sign up to chase signatures! On average it takes 19 hours of your time for just one transaction. Wouldn't you like to use that time to generate more listings and sales or spend more time with your family?  Give your clients that concierge experience by letting us take care of your paperwork needs so you can do more of what you love!

  • What am I, the Agent, responsible for?

    • Provide a full and complete checklist of documents required by your broker.
    • Communicate with me on all changes or updates in the transaction.
    • Schedule inspections and negotiate repairs.
    • Negotiate any changes in the contract and communicate any deadline changes to your TC
    • Review Preliminary closing documents and work with your client to understand
    • Provide exact wording you prefer on any addendums, amendments, or in Special Stipulations.
    • Timely payment of invoices sent to you after tasks are complete or a contract closes.
  • What if I only need you occasionally?

That is perfectly fine.  You are not locked into minimums and everyone's business fluctuates.  You may decide to do your own listings and we take over when you accept a contract on the listing.  Or you may just need us 3 or 4 times a year.  We can do that.

  • Do you have contact with my client?

How much contact we have with your clients is totally optional and up to you! We do find that having direct communication with the client does significantly streamline the process, so please keep that in mind. Also, we do keep you informed of any communication and will copy you on all emails with your client.

  • Do I still have to pay if the transaction is cancelled?

The short answer is no. Life happens and deals fall through. We understand.

If a contract falls through, there is no invoice sent. It will be considered a Canceled Contract. If it is your Listing and it goes back under contract, it will be considered a new contract and we will start over as a new Transaction. Again, we get paid when you get paid.

  • How will you keep me updated?

We use TC Docs which is a Transaction Management Software.  It keeps deadlines and dates for us as well as all the contract details.  We can send educational and reminder emails to clients, status emails to you and summaries of transactions to Title, Lenders, and the other agent in your deal.  Rest assured, we are trying to make this as easy on YOU as possible!

  • What if you take a day off, then what do I do?

As explained in the Business Hours section, we are available every day, though not always at our desks.  In the past year, I have taken my laptop on a beach vacation, to Dollywood, ball games, and I am also a practicing real estate agent.  I love that I can work anywhere and can enjoy my non-working life when a break is needed.  Those days I may be a little slower to respond to emails and tasks but I have learned to manage it and will make sure everything is responded to or completed by the end of day.

  • C'mon, you never take a day off?

I actually do occasionally.  If I need to take a whole day - Casey or Caryss can back me up.  I always give everyone a heads up so you know if I will be unavailable for a few hours, a full day, or a few days.  I always share the plan for your transactions if I need to do this.  Communication is the key.

  • What do I do if I lose the transaction information - do you keep that?

We securely store your files on a backup drive, so in the event of a file loss, please reach out for a backup copy.  We will keep these files for up to 5 years.

  • Can you help with a transaction I have already initiated?

Yes! Of course! We'd love to help you out and take over the transaction.

  • Are my online submitted files secure and confidential?

Yes! We use a tool called JotForm to collect your information and it is very secure. We do not share your information with anyone and we have strict guidelines to keep your information and your client's information safe.

  • What if we are not geographically close?

No worries at all! We do all of our work online so we are able to serve you in the easiest, most efficient way possible!

  • My Brokerage has staff TCs - can I still work with you?

Please check with your Broker.  Many brokerages will allow you to work with and pay your own TC and some require you to use their in-house TC.

  • Do you work with Teams?

We do.  Sometimes we cover the whole team and sometimes just an individual or two on a team.  We like to set up a consultation with you to determine how you want us to work with your team and what customization you might need.
